33rd Annual Gala Concert & Afterglow

Event Production, Brand Experience Design, and Operational Coordination

Suite Storees partnered with the Orchestra Association of Troy High (OATH) to support the production and guest experience for the 33rd Annual Gala Concert & Afterglow, a nonprofit fundraising event welcoming approximately 400 attendees including students, families, sponsors, community partners, and local businesses.

The evening featured a multi-ensemble orchestral performance followed by a reception and community celebration. Suite Storees provided integrated event coordination, brand experience development, volunteer management, and communication strategy to ensure the program operated smoothly while elevating the overall event presentation.

Our role bridged the gap between event operations and brand experience, helping the organization streamline logistics, clarify volunteer roles, and present the event with a cohesive visual and communication strategy.

Services Provided by Suite Storees

Event Strategy & Operational Planning

Suite Storees worked with the OATH leadership team to develop a structured event plan designed to support both guest experience and operational clarity.

Services included:

• Pre-event planning workshops with organizers and volunteer leaders
• Event logistics planning for guest arrival, performance flow, and dismissal
• Development of operational timelines and coordination plans
• Volunteer role structure and task alignment
• Vendor and sponsor communication coordination
• Risk mitigation planning for high-traffic guest environments

This planning phase helped ensure the event ran efficiently while reducing stress on volunteers and organizers.

Volunteer Coordination & Guest Experience Management

Because the event relied heavily on parent and student volunteers, Suite Storees created a structured system for role clarity and guest interaction.

Responsibilities included:

• Volunteer training and briefing workshops
• Role assignments and task delegation for event teams
• Welcome and guest check-in coordination
• Ticketing and will-call logistics planning
• Guest navigation and assistance throughout the venue
• Real-time issue management and communication escalation
• Coordinated guest dismissal following the performance

This approach ensured guests received a welcoming, organized experience from arrival to departure.

Social Media & Communication Support

Suite Storees also supported the event through communication planning and promotional messaging, helping the organization prepare content for digital outreach and event updates.

Deliverables included:

• Social media post creation for event promotion
• Messaging support for email communications to parents and attendees
• Media release drafting for local coverage
• Volunteer communication templates
• Event information messaging for guests

These materials helped maintain consistent communication across multiple audiences.

Event Design & Brand Experience Development

Spatial Planning & Floorplan Design

Suite Storees developed a structured layout to guide guest movement and improve event navigation.

Work included:

• Floorplan development to optimize guest traffic flow
• Designation of functional event zones including lobby welcome areas, concert seating, sponsor recognition spaces, and the Afterglow reception
• Crowd flow planning for entrances, intermissions, and post-performance transitions

This spatial planning ensured the venue supported both performance integrity and guest comfort.

Creative Direction & Visual Identity Alignment

To elevate the presentation of the event, Suite Storees provided design guidance and brand cohesion across visual materials.

This included:

• Design briefs for signage and printed materials
• Visual direction aligned with the gala’s tone and theme
• Consistent language and messaging across guest touchpoints
• Sponsor recognition signage and placement strategy

The goal was to ensure the event maintained a professional, cohesive aesthetic while celebrating the organization’s mission.

Sponsor Visibility & Brand Placement

Suite Storees also identified opportunities to highlight community partners supporting the event.

Services included:

• Sponsor placement strategy within guest pathways
• Vendor and sponsor recognition signage planning
• Integration of brand placements without interrupting the concert experience

This approach helped reinforce relationships between the orchestra program and its local supporters.

Event Outcome

The 33rd Annual Gala Concert delivered a structured, welcoming, and visually cohesive experience for students, families, and community guests.

Through strategic planning and on-site coordination, Suite Storees helped:

• Streamline volunteer operations
• Improve guest navigation and communication
• Elevate the presentation of the event
• Support sponsor visibility and community engagement
• Reinforce the professionalism of the organization’s flagship fundraiser

The result was a successful event that balanced musical excellence, community celebration, and organized event execution.
